Southwest Florida Fencing Academy Terms and Conditions
In order to participate in classes at Southwest Florida Fencing Academy, online or otherwise, I have read and agree to the following statements and guidelines:

- I further agree to keep my USFA Membership current. Insurance regulations prohibit anyone who is not a USFA Member from fencing at a USFA Member Club. Memberships for current members are to be renewed by July 1st or before participation at a USFA Member Club.https://www.usafencing.org/membership
- I agree to obey all Southwest Florida Covid 19 Safety Guidelines as posted at the club.
- I agree to pay my Southwest Florida Fencing Academy monthly membership dues and equipment fees ON TIME, using the online payment at www.swfloridafencing.adacemy.

MEMBERSHIP CANCELLATION POLICY
The Southwest Florida Fencing Academy does not require contracts and does not issue refunds. SportMember is used to manage our calendar, communications and payments. By using SportMember you are agreeing to SportMember’s payment processing procedures. Invoices are sent out through SportMember fourteen (14) days before a new month starts and accounts will be promptly charged for these invoices. Auto-payment is an option for your convenience to prevent late payments and to prevent a lapse in your fencing club membership. Monthly members may cancel their membership by properly submitting a cancellation request at least thirty (30) days prior to their next auto payment date. There are two options to cancel membership:
(1) Cancellations can be made in writing to our treasurer via email: ([email protected]),
(2) Members can manually elect in their SportMember account to leave the club, and if this process is properly completed, the automatic payments will stop. Please note payments will still process for previously issued invoices.
Otherwise, in accordance with the member’s SportMember account, the Southwest Florida Fencing Academy remains authorized to charge the account provided by the member for automatic payment of their nonrefundable monthly membership dues.

Prepaid (Annual) memberships (i.e., memberships that are paid in full in advance for a full 12 months) are nonrefundable, but are able to be paused for medical/personal leave by submitting a request in writing to our
treasurer via email: ([email protected]). Prepaid (Annual) Memberships cannot be paused for more than twelve (12) months.
MEMBERSHIP, TOURNAMENT, PROGRAM, AND CAMP REFUND/CREDIT POLICY
Membership Refunds
Membership refunds are only permitted when there are extenuating circumstances that limited you from notifying the Southwest Florida Fencing Academy of your cancellation. These would need to be accompanied by proper documentation (i.e. doctor’s note).
If you were incorrectly charged due to the Southwest Florida Fencing Academy's failure to cancel or put the membership on hold, a full refund/credit will be given as long as the refund/credit is accompanied by proper documentation (i.e. hold form, cancel form, email, etc). The Southwest Florida Fencing Academy will not refund/credit more than three (3) months of membership at any given time under any circumstances.
Camp and Speciality Program Refunds/Credits and Cancellation Policy
We understand that children like to try new classes and/or activities to find the one that they love. You can cancel from camp or speciality programs three (3) weeks prior to the start date. You will receive a full refund as an account credit to be used on another program of your choice, or future membership payments, or a refund of payment. Refunds may be made via check or credit to the original payment method based on processing needs of the Southwest Florida Fencing Academy (refunds on camp programs are subject to a $10 service fee).
After the camp program has begun,
● For full pay programs: Program refunds/credits for full pay programs are not permitted unless there are extenuating circumstances and are accompanied with proper documentation
(i.e. medical). Even then, they will be prorated. Refunds/credits requested after the completion of a program session will not be honored.
● If the Southwest Florida Fencing Academy cancels a camp program, whenever possible we will offer members the opportunity to make up that class/program: If a makeup cannot be accommodated, a member may request a credit for that class/program in writing.
● All credits will expire after one (1) year from the date issued to a member’s account.
Tournaments Refunds/Credits and Cancellation Policy
Refunds/Credits are only permitted when there are extenuating circumstances that limited you from notifying the Southwest Florida Fencing Academy of your cancellation. These would need to be accompanied by proper documentation (i.e. doctor’s note). Credits will be provided without a processing fee. Refunds on tournaments are subject to a $5 service fee.
If the Southwest Florida Fencing Academy cancels a tournament, we will offer the opportunity to make up the tournament whenever possible. If a makeup cannot be accommodated, a member may request a credit for the tournament in writing.
Other Club Policies & Details of Waivers Follow:
EQUIPMENT USE POLICY
- During a fencer’s newcomer 12 class package, use of club equipment is
free of charge. Gear will be documented for ease of tracking, and when
assigned gear, the items will be given to the fencer as well as recorded. At
the end of the beginner program you must return the gear clean to be
checked back in. Do not just hang gear back up on the cart without it being
checked in properly.
- If any fencer wishes to utilize club gear (following the beginner program), a
set of equipment will be signed out to the fencer, and a rental fee of $25
per month will be assessed. The equipment rented will be paid for and
recorded in SportMember. You must remit payment in SportMember prior
to checking out club gear.
- An option to purchase used equipment is available. Please email club
management at [email protected] to discuss and
obtain pricing. Payment for equipment can be made in SportMember,
Venmo, or PayPal. QR codes are on the desk, please add “equipment
purchase” in the memo. You must remit payment prior to taking ownership
of the gear.
- Free use of equipment on a long-term basis due to financial hardship will
be assessed on a case by case basis. To make arrangements please email

- Club equipment is also available for occasional use by members. If you
use a washable piece of gear our motto is “If you wear it — You wash it” —
Please take the item home, wash it, and return it next time you are at the
club.
- The goal is for ALL fencing at the club to have their own personal
gear set. The use of club equipment should be a short-term solution.

PARTICIPATION WAIVER
- In consideration for registration, attendance and/or participation at the
Southwest Florida Fencing Academy, I/we hereby release, hold blameless and forever discharge the United States Fencing Association, its Central Florida Division, Southwest Florida Fencing Academy, its employees, coaches, agents, volunteers and board members from the liability of any claims arising out of my/our/our minor child(s)’ participation in this organization.
- It is recommended minors (under 18) attending classes/lessons at the Southwest Florida Fencing Academy be accompanied and supervised by a parent or guardian at all times.
- It is required by the Southwest Florida Fencing Academy that minors (under 18) attending open bouting (open fencing) be accompanied and supervised by a parent or guardian at all times.
PHOTOGRAPHY & AUDIO WAIVER
I give the Southwest Florida Fencing Academy and its employees, coaches, agents, volunteers and board members permission to use for any lawful purpose my/our and/or the likeness of my child in image, voice and/or appearance as such may be embodied in any pictures, drawings, renderings, photographs, video recordings, audiotapes, digital images or the like. I agree that the Southwest Florida Fencing Academy has complete ownership of such pictures, etc.,
including but not limited to illustrations, bulletins, exhibitions, videotapes, reprints, reproductions, publications, advertisements and any promotional or educational materials in any medium now known or later developed, including but not limited to the internet, television, radio, newspapers, magazines, social media sites (e.g., Facebook, Twitter, Instagram, Flickr, blogs, etc.), and/or Southwest Florida Fencing Academy audio, print or internet publications. I also agree that the Southwest Florida Fencing Academy has permission to release such pictures, etc. to the news media. I acknowledge that I will not receive any compensation or remuneration for the use of such pictures, etc. I understand that once such pictures, etc. are published to the media or on the internet, or are otherwise published, they may be used in publications and/or on websites outside of Southwest Florida Fencing Academy control. If at any time I need to remove photography and audio permission for myself or child, I understand that the Southwest Florida Fencing Academy will need written notification.
I/we certify that I/we have read, understand and AGREE to the participation and photography & audio waiver in its entirety as detailed above.
